This policy explains how we collect, hold, use and disclose personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

This policy applies to personal information we collect through our website at realclicks.com.au, our social media pages, our marketing activities and our dealings with clients, prospective clients, suppliers and job applicants.

By using our website or providing us with personal information, you acknowledge that your information will be handled as described in this policy.

Personal information means information or an opinion about an identified individual, or an individual who is reasonably identifiable, whether true or not and whether recorded in a material form or not.

2. What personal information we collect

The types of personal information we collect depend on how you interact with us. They may include:

  • Contact details: your name, email address, phone number, business name, job title and postal address.
  • Enquiry information: details you provide when you complete a contact form, request a proposal, subscribe to updates or otherwise communicate with us.
  • Client and billing information: information needed to deliver our services and manage accounts, such as invoicing details and account access you grant us to platforms like Google Ads, Google Analytics or Meta Business Suite.
  • Recruitment information: your resume, work history, qualifications and referee details if you apply for a role with us.
  • Technical and usage information: your IP address, device type, browser type, operating system, approximate location (city or region), referring website, pages viewed, time spent on pages, clicks and other interactions with our website.
  • Advertising and cookie information: cookie identifiers, advertising identifiers and information about how you respond to our ads, collected through the tools described in section 4.

We do not intentionally collect sensitive information (such as health, racial or ethnic origin, or political or religious information) through our website. If we need to collect it for any reason, we will only do so with your consent and where permitted by law.

You can deal with us anonymously or using a pseudonym where it is lawful and practicable, for example when browsing our website. However, we may not be able to respond to an enquiry or provide services without your contact details.

3. How we collect personal information

We collect personal information directly from you where reasonably practicable, including when you:

  • complete a form on our website, such as our contact or enquiry form
  • email, call or message us, including through our social media pages
  • meet with us or engage us to provide services
  • subscribe to our newsletters or marketing communications
  • apply for a job with us.

We may also collect personal information from third parties, such as your employer if they are our client, referrers, publicly available sources (for example LinkedIn or company websites) and advertising and analytics platforms.

Cookies and similar technologies

Our website uses cookies, pixels, tags and similar technologies. A cookie is a small text file stored on your device when you visit a website. These technologies help our website work properly, let us understand how visitors use our site and allow us and our advertising partners to show you relevant ads and measure their effectiveness.

We use the following categories of cookies:

Category

Purpose

Examples

Strictly necessary

Enable core website functions such as security and page loading

Website hosting and security cookies

Analytics

Help us understand how visitors find and use our website

Google Analytics

Advertising and remarketing

Measure ad performance, build audiences and show you relevant ads on other websites and apps

Google Ads, Meta Pixel

Most browsers let you block or delete cookies through their settings. If you block cookies, some parts of our website may not work as intended. Section 7 explains other ways to opt out of analytics and advertising tracking.

4. Google Analytics, Google Ads and Meta Pixel

We use the third-party tools below on our website. Each provider collects information through cookies or similar technologies and processes it under its own privacy policy. These providers may combine this information with other data they hold about you, for example if you are signed in to a Google or Meta account.

Google Analytics

We use Google Analytics 4, a web analytics service provided by Google LLC, to understand how visitors use our website and to improve its content and performance.

  • What it collects: pages visited, time on site, how you arrived at our site, device and browser information, approximate location and interactions such as clicks, scrolls and form submissions.
  • IP addresses: Google Analytics 4 does not log or store full IP addresses. IP addresses may be used briefly to derive approximate location before being discarded.
  • Google signals: we have enabled Google signals, which allows Google to associate website activity with signed-in Google account users who have turned on ad personalisation, to provide aggregated cross-device reports.
  • Your choices: you can install the Google Analytics Opt-out Browser Add-on or block cookies in your browser.
  • More information: How Google uses information from sites that use its services.

Google Ads

We use Google Ads, provided by Google LLC, to advertise our services on Google Search, YouTube and websites and apps in the Google Display Network.

  • Conversion tracking: a Google Ads tag on our website records when someone who clicked one of our ads completes an action, such as submitting an enquiry. This helps us measure our advertising results.
  • Remarketing: we may use Google Ads remarketing to show our ads to people who have previously visited our website. Google uses cookies to do this, and you may see our ads on other websites after visiting ours.
  • Enhanced conversions and Customer Match: we share hashed (encrypted) contact details, such as an email address you have given us, with Google to measure conversions more accurately or to reach existing contacts. Hashing converts the information into a code that cannot easily be reversed, and Google uses it only for matching.
  • Your choices: manage or turn off personalised ads through Google My Ad Center.
  • More information: Google Privacy Policy and How Google uses cookies in advertising.

Meta Pixel

We use the Meta Pixel, provided by Meta Platforms, Inc. and Meta Platforms Ireland Limited, on our website. Meta operates Facebook, Instagram and the Meta Audience Network.

  • What it collects: information about your visit, such as pages viewed, buttons clicked, forms submitted, your IP address, browser and device information and cookie identifiers.
  • How we use it: to measure the effectiveness of our Facebook and Instagram ads, build audiences of website visitors for remarketing, find new people similar to our visitors (Lookalike Audiences) and show you relevant ads on Meta platforms.
  • Custom Audiences: we share hashed (encrypted) contact details, such as an email address you have given us, with Meta to reach existing contacts and build audiences for our ads. Meta uses this information only for matching.
  • Your choices: adjust your Meta ad preferences and review the off-Meta activity linked to your account in Your activity off Meta technologies.
  • More information: Meta Privacy Policy and Meta Cookies Policy.

We do not sell your personal information to Google, Meta or any other party.

5. How we use and disclose personal information

  • assess job applications
  • comply with our legal obligations and resolve disputes.

We will only use or disclose your personal information for the purpose it was collected, a related purpose you would reasonably expect, with your consent, or where required or authorised by law.

Who we disclose information to

We may disclose personal information to:

  • our staff and contractors who need it to perform their roles
  • service providers who support our business, such as website hosting, email, CRM, cloud storage, accounting and IT providers
  • advertising and analytics providers, including Google and Meta, as described in section 4
  • our professional advisers, such as lawyers and accountants
  • government agencies, regulators or law enforcement where required or authorised by law.

We require our service providers to handle personal information only for the services they provide to us and in line with applicable privacy laws.

Direct marketing

We may use your contact details to send you marketing communications about our services, insights and events, in line with the Spam Act 2003 (Cth) and the APPs. Every marketing email we send includes an unsubscribe link. You can also opt out at any time by contacting us using the details in section 8. We will process opt-out requests promptly.

6. Overseas disclosure, security and retention

Overseas disclosure

Some of our service providers store or process information outside Australia. In particular, Google and Meta process information collected through Google Analytics, Google Ads and the Meta Pixel in the United States, Ireland and other countries where they or their affiliates operate. Our other cloud-based providers may store data in the United States and elsewhere.

Where we disclose personal information overseas, we take reasonable steps to ensure the recipient handles it in a way consistent with the APPs, for example by using reputable providers with appropriate privacy and security commitments.

Security

We take reasonable steps to protect personal information from misuse, interference, loss and unauthorised access, modification or disclosure. These steps include secure, password-protected systems, access controls limited to staff who need it, multi-factor authentication where available and encrypted (HTTPS) connections on our website.

No method of transmission over the internet is completely secure. If we experience a data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) as required under the Notifiable Data Breaches scheme.

Retention

We keep personal information only for as long as we need it for the purposes described in this policy or as required by law, such as tax record-keeping obligations. When we no longer need it, we take reasonable steps to destroy or de-identify it. Google Analytics data is retained for the period set in our account settings.

7. Your rights and choices

Access and correction

You can ask to access the personal information we hold about you, or ask us to correct it if it is inaccurate, out of date, incomplete, irrelevant or misleading. Contact us using the details in section 8. We will respond within a reasonable time, usually 30 days, and may need to verify your identity first.

We do not charge for a request, but may charge a reasonable fee for providing access where permitted. If we refuse a request, we will tell you why in writing and how to complain, unless it would be unreasonable to do so.
